
We get asked a lot whether Zapier will work for a particular business, because maybe some of the use cases we talk about don’t necessarily translate exactly to a particular sector. Maybe you have a service-based business but have seen more product-based business case studies, or vice versa.
We are confident that Zapier can be used in any business, to streamline processes, improve productivity, and save time.
We thought we’d share a few of our client success stories which might inspire you to give it a try!
Using Zapier for a dental practice
Manual administration is typically the beating heart of a dental practice operation but Zapier can help to automate many of these processes. We worked with Ascent Dental Group on a number of projects to streamline their four practices, connecting apps such as Pipedrive, Voodoo SMS, Gmail, Mailchimp, and Google Sheets in their operation.
Solvaa set up Zapier automations to push new enquiries into Pipedrive and then send lead-nurturing sequences by email and SMS. Lead conversion data is also added to Google Sheets for advanced reporting. Deals are moved to a specific dentist’s pipeline when a patient is booked and branded email sequences are sent for appointment reminders and new patient onboarding.
Group Operations Manager Louise Hatton was delighted. She said, “Kelly has saved hours and hours worth of manpower allowing our teams to focus on our patients rather than administrative tasks, it’s also allowed us to communicate in a much better way with our patients, exactly the results we were after.”
Using Zapier for a technical service provider
Distributed is an outsourced technical development service provider that uses apps such as Salesforce, Xero, Google Sheets, Jira, and Google Drive. Examples of zaps include adding new tasks to Jira when Salesforce opportunities are marked as won, adding new invoice details to a Google Sheet for advanced reporting calculations, and adding signed documents to Google Drive.
Jeff Bousfield, from Distributed, says “Kelly has implemented some crucial automations to extract sales data from Xero and represent it in a Google Sheet. This data has helped us to gain insight into capabilities for each project, for understanding what we are very strong at and where we may be falling short.”
Using Zapier for an online training business
Big Rock Designs is an online training business that provides courses and digital marketing services. We connected Click Funnels and Zoho to add leads to the CRM as new contacts.
Peter Meehan from Big Rock Designs said, “Kelly was able to go into all the applications and on-the-spot identify the issues and resolve them.”
Using Zapier for an architectural glazing company
IQ Glass supply and fit pioneering glass using employed and self-employed fitters and other staff, working on-site as well as at their headquarters. Zapier was used to improve the sales process, site reporting, timesheet workflows, and purchase order tasks. The automations reduced missed deadlines, improved data accuracy, eliminated data entry human errors, and generated significant systems and process improvements.
Hugo Cox is IQ Glass’s Group Operations Manager and was delighted with a time saving of 45 hours per week, which equates to a full-time employee “who we won’t have to pay tax or NI for, doesn’t go sick, need holiday or occupy a desk!”
Using Zapier for a cleaning business
Final Cleaning Service is based in New York State and provide outsourced cleaning co-ordination. They use Zapier to automate their sales proposal, invoicing, and lead nurturing processes. The apps include Pipedrive, Microsoft Outlook, and Google Docs.
Proposals and invoices are created from a template in Google Docs, and then sent out by email. A series of nurture emails are automatically sent for unsigned proposals and invoice reminder notifications are sent via email too.
Owner Michael Skibicki said “Kelly was instrumental in helping me to get the most out of Pipedrive’s functionality by structuring the system to the exact needs of my team and providing training. Alongside this, she has put in place numerous processes using Zapier to automate proposal creation and sending auto-responder email follow-ups. We will save buckets of hours thanks to her work.”

Using Zapier for a tax credit grant funding specialist
Grant Tree helps firms obtain R&D tax credit grants from the government by managing the application process using their unique specialist knowledge. They use Zapier to create and update projects and tasks in Asana when a Pipedrive deal hits a certain stage. They also move deals between pipelines, and notify team members by email for new, won, or lost deals.
Elizabeth Fosbrook, Business Analyst at Grant Tree said “With Kelly’s help we’ve now automated many of our processes across the tools we use. It’s not only helped us link up the tools with each other but we are also collecting much more timely and accurate data through the automation.”
Using Zapier for a tea importer
Hugo Tea is a tea importer based in Kansas, USA. They use Zapier to connect Pipedrive with Dear Inventory successfully to sync contacts when they convert to a customer in the CRM. Dear Inventory is an inventory, order, and shipping management app which uses automations to manage complex tagging and segmentation syncing of data between itself and Pipedrive.
