In the ever-evolving landscape of business processes, automation has become the cornerstone of efficiency and productivity. In this post, we’ll delve into the art of enhancing your existing automation infrastructure by seamlessly integrating new automations into the mix.

What is business automation software?

Automation is an ever-growing buzzword for businesses. While many are familiar with the automation of physical processes, it’s now common for business automation software to reduce manual office tasks, like copying and pasting data or sending emails. Many apps offer built-in automation, using if/then style rules. You can also find apps dedicated to automation, which create connections between apps and allow you to use more complex logic to automate tasks. Examples of these apps are Zapier, Make and Workato.

Adding automations to your business

While you might want to crack on with creating a new automation, you must have a good picture of your current business automations and what they do. What tasks do they perform, and how do they interconnect? If you don’t, you may find your processes overlapping or even contradicting each other. If you don’t have a clear picture of your automation landscape, take some time to map it out before you continue. Another good reason to understand your current automations is that you may be able to duplicate existing work to save time. For example, let’s say that you use Zapier and you already have a Zap (automation) to add a new lead to your CRM if they book time in your calendar, and you want to set up a Zap to do the same thing for your colleague. You can copy the Zap and change a few of the details instead of creating one from scratch. Duplication not only saves time but also maintains consistency across your workflow.

Know which apps you’re connecting and get the necessary access

Now that you have a clear picture of your existing automations, turn your attention to the apps involved in the new automation you want to build. Do you have access to all the necessary apps? Do you have the right level of access – if you’re using an app like Zapier, it often requires admin-level permissions in the apps that you’re connecting.

 

Moreover, check if you have access to all relevant areas within each app. For instance, in Google Drive, ensure that your Google account has access to the required folders. This attention to detail prevents hiccups in automation execution and guarantees that you can build your automations without needing to stop and ask for permission from various account owners repeatedly.
